Terms and conditions

It is important that before you accept your offer of a place with the University of Hertfordshire that you refer to the Terms and Conditions.

September 2013

Please note that in addition to the University's terms and conditions for students generally, the following terms and conditions will also apply to international students registering for the first time for the academic year 2013/2014. For these purposes, "international" means students who are deemed by the University to be international students for tuition fees purposes. Please note in particular the potential financial consequences, set out in section 11, for failing to register or for withdrawing after registration:

  1. The latest date for registration for the majority of courses that commence on 23 September 2013 is 07 October 2013. However if you are studying on a preparatory course such as Graduate Certificate in Business, Pre-sessional English or English for Academic Studies the latest date of registration will be earlier and these details will be included on your Certificate of Acceptance ("CAS").
  2. Regardless of any certificate of English proficiency that you might hold, if your first language is not English you will be tested on your English when you enter the University, to ensure that you are able to avail yourself fully of the opportunities offered. If your result is deemed insufficient for the course for which you have registered, you will be required to attend extra English classes.
  3. Satisfactory Occupational Health checks and Enhanced Criminal Records Bureau (CRB) screening will be required prior to registration for all applicants applying for certain undergraduate health courses; this is a pre-condition of registration and will be undertaken on arrival at the University. If as a result of the checks and/or screening you are not deemed eligible for registration on the course, every reasonable endeavour will be made to transfer you to another appropriate course that does not require these checks and screening. In the event that another appropriate course cannot be found, you will not be permitted to register and you may be required under the terms of your visa to return home: any monies you have paid to the University will be returned to the source bank account.
  4. It will be your responsibility to obtain a visa to enter and remain in the UK. All students entering the UK on a student visa must adhere to the UK Border Agency regulations in force from time to time regarding time spent studying in the UK. For example, as of 5 April 2012 there is now a general limit on study time at NQF level 6 (degree level) and for students going on to study for a master's degree or PhD.
  5. If you wish to defer your offer of a place once you have accepted it, this can only be done if agreed to in writing by the University, and we will need to notify the UK Border Agency that you have done so. Any monies you have paid to the University will be held by the University on your behalf until you subsequently complete registration.
  6. Tuition fees payable for the September 2013 intakes can be found on our website. Please note that the tuition fees are only set at these amounts for your first year of study and may be subject to change in successive years. You will be notified of any changes at the appropriate time. Information on how to pay can be found on or website.
  7. If you are studying a full year course you will in most cases be eligible for a discount of £500 on the first year tuition fees ("the Full Payment Discount") provided you have paid the tuition fees in full by 11 October 2013 in line with the timetable for refundable elements (see section 11 below).
  8. For most courses you may, if you prefer, pay your first year tuition fees in two instalments. Initially paying £5000 towards your tuition fees by the date set out in your offer acts as your deposit and will allow you to register at the University. This amount will be deducted from your overall first year tuition fees when you register. This £5000 acts as your deposit for your principal course of study only (i.e. your undergraduate or postgraduate course). If payment is made for additional courses from this deposit (i.e. Pre-sessional English or other preparatory course) payment of additional fees to enable a £5000 deposit to be paid against your principal course tuition fee will be required to allow you to register.
  9. If you are paying in two instalments, the balance of your first year tuition fees must be paid no later than 10 January 2014. However, if you pay in two instalments you will not be eligible for the Full Payment Discount of £500. Please also note that not all courses are eligible for the £500 Full Payment Discount. Please see our website for the latest information.
  10. There is no option to pay in two instalments for courses of one semester or less including the following:
  • Psychology Bridging course
  • English for Academic Purposes (EAS)
  • International Pre-Masters Programme (IPM)
  • Graduate Certificate in Business (GCiB)

  • If you are studying one of the above courses you will not be eligible for the £500 Full Payment Discount. Your tuition fees, including where applicable the £5000 payment that acts as your deposit, have a non-refundable element. If you fail to register at the University or if you withdraw from the course after registration, the University will retain (or, as applicable, will require the payment of) this non-refundable element of the fee (other than where section 12 below applies). The amount that the University will retain (or require payment of) is shown in the table below and depends on whether you have failed to register or, in the case of withdrawal, on the date on which you have withdrawn (or, where applicable, are deemed by the University to have withdrawn).

Occurance/Relevant date Non-refundable element of fee
    Failure to register £2000
Withdrawal on or before 29 November 2013£2000
Withdrawal on or after 30 November 2013  No refund available

 11.   Please note therefore that if you withdraw on or after 30 November 2013, you will have to pay the University the first year's tuition fees in full. This means that if you are paying in two instalments, you will (as well as not receiving any refund of your first instalment) additionally have to pay the University the second instalment. In these circumstances you must pay the second instalment within 30 days of your withdrawal or deemed withdrawal (as applicable).

12.   A minimum of £2,500 of the tuition fees you have paid to the University (this includes the £5000 deposit) is therefore non-refundable in all circumstances unless:

  • your student visa to enter the United Kingdom is refused
  • you fail to satisfy the academic conditions set by the University

In which event the full fee paid will be refunded, subject to the remainder of this section 12. If your visa is refused, a refund will only be made if you have supplied us with appropriate documentary evidence of the refusal from the visa office. Refunds will not be given in any circumstances if it should emerge that fraudulent documentation has been submitted in order to obtain either an offer of a place at the University or a student visa to study in the UK. Any student rejected for false documents or false representations, including but not limited to any rejection under paragraph 320 (7a) or 320 (7b) of the UK Immigration Rules, will automatically not be eligible for any deposit refund.

13.   You should ensure that you have sufficient funds to cover tuition fees and living expenses for the duration of your course. For further information on this please see the International Pre-Arrival guide

14.   If your tuition fees are being paid for you by a sponsor, you do not have to pay a deposit, but you must by the date stated in your offer letter provide the University with satisfactory proof of sponsorship that covers the entire cost of your course. It is your responsibility to make sure your sponsor pays your fees at the appropriate time (which, unless we agree otherwise, is the same time as if you are paying them yourself). If your sponsor fails to do so, you will be liable to pay the fees yourself in full. Please note that the financial consequences of failure to register or withdrawal, as set out in section 11 above, apply equally in the event that your fees are being paid, or are supposed to be being paid, by a sponsor. 15.   The University will hold and process personal information about you including some sensitive personal information.

Details of how the University will process this personal information can be found on its main Data Protection web pageat and in the other documents and web pages which are referred to on, and linked to from, this main web page. Please note that if you have used one of the University's overseas representatives to assist with your application, then unless you notify us in writing that you do not want us to do so, we may disclose to the representative personal information about you which relates to your application.

16.   The University reserves the right to update these terms and conditions from time to time.

17.   Once you have accepted your offer of a place, you may cancel your acceptance by written notice to the University at any time within seven working days beginning on the day after your acceptance of the offer, provided that up until your acceptance there has been no face-to-face contact between you and the University (for example, you have not visited the University or met any of the University's official representatives in person). In these circumstances, you will receive a full refund of any money you have paid as a deposit. However, where we are likely to begin to provide services to you before the end of this seven working day period, you may only cancel your acceptance under this paragraph before we have started to provide the services.

18.   These terms and conditions shall be governed by and construed in accordance with English law, and shall be subject to the non-exclusive jurisdiction of the English courts.
